Reserving Campus Spaces in PrideNET
PrideNET offers two ways to reserve spaces on campus:
- Room Reservation Feature: Accessible from the main left-hand navigation menu in PrideNET. Use this option when you want to reserve a space for a meeting or other purposes without advertising it on PrideNET.
- Creating an Event: Choose this method when you need to advertise the reservation on PrideNET, require advanced features like check-ins and RSVPs, or need to schedule a high volume of recurring reservations. Only group officers can create events in PrideNET.
Most room reservations do not require creating an event. Instructions for creating events will be provided in the future.
Important Notes:
- Approval Required: Most rooms have stewards who must approve your reservation request. Your reservation isn't confirmed until you receive an approval email at your Springfield College email address.
- Processing Time: Room reservation requests should be submitted at least one week before the actual date of the event to allow stewards a reasonable amount of time to review and assess.
How to Reserve a Space Using Room Reservations
1. First, log into PrideNET and find the Room Reservations link in the main left hand navigation
2. Use the filtering criteria across the top of the page to narrow the room choices. Specifically, pick the day you need the reservation, the minimum room capacity, and if you have a specific building in mind.
You can switch between "Week View" and "Day View" using the button on the far right.
"Week View" displays a traditional calendar layout.
"Day View" offers a compact spreadsheet format, useful if you're unsure of the room you need.
3. To select your reservation time on the calendar, either click and drag from your desired start time to your desired end time, or simply click once at your desired start time.
4. The Confirm Reservation dialog will appear. Verify the Space name, the start time, the meeting duration, and enter a title for your reservation. When making a reservation, consider any setup or teardown time you may need and include it in the chosen reservation window.
5. Click the "Book Space" button.
6. Next, you will be presented with the Room Reservation Approvals Request Acknowledgement page. Read through the page, verify the reservation details, and if correct, click the "Submit" button.
7. Your request is fully submitted when you receive the confirmation page. Click the "Home" button to return to the PrideNet homepage.
8. Clicking on the "My Reservations" link in the PrideNET main left hand navigation should show your room reservation as "Pending".
Additionally, if you go back to the "Room Reservations" link and find the room on the same day, you should see your pending reservation. While a reservation is pending or approved no one else can book this space.
9. You'll receive an email confirming your submission.
10. You'll receive another email when your reservation is approved or requires other action. You can return to "My Reservations" to see if the status has changed from "Pending" to something else like "Booked". "Booked" means the reservation has been approved.
11. If you need to Cancel the reservation, click on the "My Reservations" link in the PrideNET main left hand navigation, find the reservation in the list, and click the "Cancel" button on the far right.
